Working as a referee or umpire for several sports organizations can make scheduling complicated.
One league might schedule games during weekday evenings, while another primarily needs officials on weekends. You may also have different travel preferences depending on the organization.
Assignr provides a shared availability calendar designed to handle these situations.
However, there’s an important detail that officials sometimes overlook.
Your availability is shared across the organizations connected to your Assignr account, unless you specify which organizations or locations you’re available for.
One Calendar for Multiple Organizations
Assignr allows officials to work with multiple organizations using a single account.
Instead of maintaining completely separate availability calendars, officials can manage their dates and times from one place.
This helps prevent scheduling conflicts when assignments come from different leagues.
For example, if you’re already scheduled for a Saturday afternoon game with one organization, another assignor can see that the time is occupied.
You don’t need to manually report every existing assignment to each organization.
What Can Other Assignors See?
Assignr shares scheduling information across connected organizations, but it limits the details.
An assignor can see when you’re scheduled to work for another organization.
However, they cannot see the full details of that outside assignment.
Assignr’s documentation specifies that only the date and time are visible.
This helps assignors identify potential conflicts without exposing unrelated game information.
Why General Availability Can Be Misleading
Suppose you’re available every Saturday but only want to officiate for one particular league.
If you simply mark Saturdays as available, that availability may be visible to all connected organizations.
An assignor from another league could reasonably assume you’re willing to work for them too.
Assignr addresses this with organization-specific availability restrictions.
You can indicate that you’re available on a particular day but only for selected organizations, venues, or venue areas.
How to Set Organization-Specific Availability
Open your Availability calendar.
For an individual date, Assignr’s instructions describe the following process:
- Select Toggle Dates and mark the date available.
- Open Edit Times, Notes & Location.
- Select the date you want to customize.
- Find I am only Available for…
- Select the appropriate organizations, venues, or venue areas.
- Save your changes.
You can also specify particular time ranges.
This allows you to remain available for one organization without automatically offering the same availability to every other assignor.
What If You Leave the Organization Field Empty?
This is an important detail.
Assignr explains that when you mark yourself available without selecting a particular organization or location, you’re indicating general availability.
That availability applies to the assignors associated with your account.
If you’re willing to work anywhere, this may be exactly what you want.
If you’re trying to reserve certain dates for one league, you need to add the appropriate restriction.
Restricting Availability by Venue
Organization restrictions aren’t the only option.
Assignr also supports venue-specific and venue-area availability.
For example, you may be willing to work at nearby fields on a weekday evening but not at facilities requiring a long drive.
Rather than marking the entire evening unavailable, you can specify the locations you’re willing to consider.
This gives assignors more useful scheduling information.
The calendar displays a location indicator when availability has been restricted.
Updating an Entire Month
Entering organization-specific availability one day at a time can become tedious.
Assignr supports bulk updates.
Use Add & Remove Multiple Days to apply availability across a date range.
For recurring patterns, use Available Specific Days… to select particular weekdays within that range.
You can then apply the appropriate organization or venue restrictions.
This is useful when your schedule follows a consistent pattern throughout a season.
What Happens When You Receive a Game Elsewhere?
Once an assignment is scheduled through one connected organization, Assignr can show the occupied time to other assignors.
This helps identify overlapping assignments.
However, Assignr’s conflict indicators are informational rather than absolute restrictions.
Assignors can technically override certain scheduling conflicts.
For that reason, you should still review every assignment and communicate immediately if two games cannot reasonably be worked.
Multiple Organizations vs. Multiple Accounts
These aren’t necessarily the same situation.
Assignr’s shared availability functionality works when your organizations are connected to one account.
If you have separate Assignr accounts for different organizations, the shared-calendar functionality may not operate as intended.
Assignr recommends contacting its support team to consolidate those accounts.
Using separate accounts can make it harder to maintain a consistent scheduling picture.
Why Your Assignor Can’t Edit Your Availability
Assignr changed its availability management system in July 2024.
As part of that update, assignors stopped being able to change officials’ availability directly.
The reason is practical: a change made for one organization could affect the availability displayed to other organizations.
Officials are now responsible for maintaining their own calendar information.
If an assignor asks you to update your availability, make the change through your calendar rather than assuming they can do it for you.
A Better Way to Manage Multiple Leagues
Start by identifying which days you’re generally willing to officiate.
Then review whether certain dates should be limited to particular organizations or venues.
Use time restrictions when you’re only available for part of a day.
Finally, check the calendar regularly for existing assignments and unexpected conflicts.
A single shared calendar is useful, but only when its availability information accurately reflects your preferences.
One Calendar Doesn’t Mean One Schedule for Everyone
Assignr provides a practical solution for officials working across several leagues.
It combines availability and assignment conflicts into one calendar while allowing organization-specific restrictions.
But officials need to understand the difference between being generally available and being available to a particular assignor.
If you work with multiple organizations in Assignr, don’t maintain your calendar as though each league operates independently. Use organization, venue, and time restrictions to communicate exactly where and when you’re willing to officiate.
